Front Office and Admin Assistant

Summary

Full time job at our offices in Somerset West. A 3 month probation period applies.

General Administration

  • Telephone reception
  • Respond to general queries (telephonic & email) and monitor emails
  • General correspondence
  • Client hostess and refreshments
  • Data capturing
  • Printing, Scanning and Filing
  • Travel arrangements
  • Stock levels (office stationary and consumables)
  • Supplier quotes and order tracking
  • Courier arrangements and tracking
  • General errands and collections

Financial Administration

  • Issue purchase orders to suppliers
  • Issue invoices and statements to debtors
  • Receive and process invoices from creditors
  • Follow up on outstanding creditors
  • Manage petty cash
  • Prepare documents for VAT submission

Marketing & Sales Administration

  • Compile monthly website performance reports

Skills & qualities required

  • Strong organizational abilities
  • Punctuality
  • Accuracy
  • Self motivation
  • Initiative
  • Good, professional verbal and written communication
  • Good inter-personal skills
  • PC experience: MS Office essential (MS Word, Excel, Outlook). Experience with basic photo editing is preferred but not essential.
  • Conduct professional presentation and behavior at all times

Other requirements

  • At least 2 years working experience
  • Driver’s license (preferred)
  • No criminal record
  • References
